Wayne Trace Local School Board Meeting Minutes 11/10/14

The Wayne Trace Local School District Board of Education met in regular session on November 10, 2014 at 7:30 p.m. in the Wayne Trace High School Lecture Hall.

Mr. Perry Sinn led those in attendance in the Pledge of Allegiance. Roll Call: Pat Baumle, Lisa McClure, Duane Sinn, Perry Sinn, Dick Swary.

Report of the Treasurer:

Treasurer Gary Ginter presented an amended appropriation for approval. Appropriations were amended primarily to reflect the current allocations available for the RttT and Title I grants.

14-11-02 Consent Agenda Items:

A motion by Pat Baumle to approve the following consent agenda items, striking item B:

A. to approve the minutes of the October 13, 2014 and October 28, 2014, October 29, 2014, and November 3, 2014 Board meetings;

B. to approve the investment report and payment of bills as presented by the treasurer for October 2014;

C. to approve an amended appropriation resolution. This is necessitated by the Ohio Department of Education allowing the unused funds from last year’s grant to be added to the current allocation available for the RttT and Title 1 grants.

Vantage Report – Pat Baumle:

Mr. Baumle reported that at their last meeting, the Vantage Board approved a tax abatement for a local firm, and reviewed contracts for the next school year.

Jr/Sr High School Principal’s Report – Greg Leeth:

1. On October 24, Marty Schloegl, a consultant for State Support Team 1 who is leading the district through the Ohio Improvement Process, met with the Teacher Based Teams in the junior high and high school. The purpose of the meetings was to teach teachers how to conduct Teacher Based Team meetings that will lead to improved student success.

We are required by the state to submit forms detailing the steps we are taking to improve student achievement in the district. See the accompanying reporting form “Resource 21C: TBT 5-Step Process Meeting agenda and Minutes Template.”

Teachers report that the collaboration time is extremely valuable; however, teachers are being pulled from Raider Time, an intervention time, every two weeks for these meetings. According to Mr. Schloegl, teachers should meet for 45 minutes every week. The challenge is to create a schedule that allows for teacher collaboration that does not infringe upon teacher plan, class, and intervention time.

2. Parent-Teacher conferences took place on October 29 and 30. Over 220 conferences were held in the building.

3. Heather Hatcher was named Teacher of the Quarter for the first grading period. Hatcher, a biology teacher, has embraced the 1:1 initiative, implementing instruction and assessment via the laptop computer.

I recently spent time in Mrs. Hatcher’s classroom and observed a class using the laptop computers. Students logged into their Schoology accounts (Schoology is a learning management system), went into Mrs. Hatcher’s second period biology class, and took a “survey” to determine what they know and don’t know about cell respiration and photosynthesis. Students responded to multiple choice questions and the results were immediately calculated and sent to Mrs. Hatcher. She had access to each student’s answers and scores and to the composite score for the class. She displayed the composite score information on the white board for students to see. She then reviewed each question and answer, including the wrong answers. This type of formative assessment enabled Mrs. Hatcher to determine which parts of the previous lesson the class needed reviewed before testing at the end of the week. It also enabled here to determine which students needed individual help understanding the lesson.

Additionally, Mrs. Hatcher posts assignments and learning goals for each class each day on Schoology. She is quick to acknowledge that Schoology and laptop computers have helped her become a more effective teacher.

Mrs. Hatcher was selected as Teacher of the Quarter!

4. Eighth grade students toured Vantage Career Center on Monday, November 3.

5. The Red Cross Blood Drive was held on Friday, November 7.

6. Two special events occurring this month include the Veteran’s Day program which will take place on November 11 at 8:00 a.m. in the high school gymnasium and the National Honor Society Induction Ceremony which will occur on November 26 at 1:40 pm. in the junior high gymnasium. I invite all board members to attend these two special events.

7. The junior high geography bee and spelling bee will take place the morning of November 26 in the junior high gymnasium.

Grover Hill Elementary Principal’s Report, Kevin Wilson:

Maintenance:

On October 1st, Doug Schlatter was able to schedule the gas line repair. Doug was able to schedule the repair for a day in which we did not have students in the building. Doug reported that there were not problems and the issue is fixed. He was able to protect the new line with foam to keep this issue from reoccurring.

The cricket situation has been resolved. Buckeye exterminating sprayed around the exterior of the building and this seems to have eliminated. The plans for next year are to have this spraying completed before the students report for the first day.

John Maenle was able to come two days after school to repair the missing mortar on the east side of the building. This should take care of any rain entering during a driving east wind. I would like to make note that John has two children in our building, Hannah and Lance, and with him being a local person he has really gone the extra mile to help us out.

While John was on the roof he took some time to look around the leaking areas. His observation was very much what we have felt all along; it is the flashing around the building and not the roof that is leaking. The cost for John to complete this task was around $1,000.

Tony is working with Ohio and Indiana Roofing to take care of the flashing areas. John Maenle has volunteered to come back when Ohio and Indiana Roofing are here to point out the areas that he noticed. The cost to have Ohio and Indiana Roofing complete this job will be less than $1,800.

The Grover Hill Elementary sign by our sidewalk has been damaged. At some point someone scratched a word into the sandstone. John Maenle offered to sand the stone which should take the word out and also will clean the sign. I would like to make note that John has two children in our building, Hannah and Lance, and with him being a local person he has really gone the extra mile to help us out.

Van Wert Glass came this past month and changed the seal around the window. The old seal was not in properly and we were not sure if it was leaking or not. Since they were coming to look at the seal anyway it was decided to just go ahead and replace it.

In the WTGH cafeteria we have been having issues with the steam table. This is the table in which the food is kept warm/hot. What we found was one of the elements was bad. Gregg contacted a gentleman to come in on Friday, October 31 to replace the bad element and while he was at it we decided to have the other three elements replace at the same time. We were able to have this completed for less than $300.

Academics:

1. The Evaluation process is in full swing. During an average week I will have two 45 minute pre-evaluation conferences, two 45 to 60 minute observations, and two post evaluation conferences of 45 minutes each. In between the observation and post evaluation conference I will spend anywhere from two to three hours preparing for the post conference with the teacher. This seems like a lot of time, but working with the staff and seeing positive change is worth this time.

2. The Principal’s Math Club is up and running. At this time the teachers are going over each student’s assessment and will be getting me a list of those who qualify. At this the plans are to take each grade level and give them a pizza party. During this party we will be working on some math problem solving. I think this will be a fun activity for the students.

a. We have several volunteers in on a daily basis working with the math teacher’s guidance. At this time they are working on multiplication facts for any student who is lacking in this area.

b. The plans are to move these volunteers down to grades K–3 and work with those students having trouble from identifying numbers to adding and subtracting numbers

3. The WTGH staff has taken student achievement to the next level. One of THE teachers brought a book to me titled “The Next Step in Guided Reading”. After reading this book I felt it had sections and ideas that would be very beneficial to the staff and students. During my October staff meeting I discussed the book with the entire staff. After our discussion the WTGH teachers decided they would like to purchase this book for each staff member. Then they would spend time after school as a peers groups going through the book picking out those bits and pieces that will help all students improve their reading. At this time I have ten teachers interested and four others considering participation.

4. During the two-hour delay on October 15 the teachers continued meeting to discuss progress students are making. In areas where progress was slow, the teachers are brainstorming ideas to increase this growth.

5. I am very pleased with the efforts of the entire staff, but I would like to recognize Mrs. Foster. She is working with students in all grades as an inclusion teacher and also has scheduled two nights each week to stay after school and tutor students in need.

6. Parent/Teacher conferences were well attended again this year. Many of the classrooms reported almost perfect attendance. In many cases it was only one parent who did not come for conferences. As a building our percentage of attendance was 90%.

7. Assessment is a word used often in the WTGH building. Assessment comes in many forms. It might be a teacher giving the students an exit card or a question as they leave asking them to show what they have learned during the class period. It can also be a teacher working one to one with a student and during this time the teacher is observing and noting what the student’s strengths and weaknesses are. Finally, assessment can be a quiz or test over a skill or chapter just covered. The WTGH teachers are monitoring student growth and using multiple assessments to identify this growth. I will bring to the board meeting a sample of the data being collected by the WTGH staff so that you can see what the teachers are doing.

Other News:

1. The Turkey Tour visited WTGH on Tuesday, November 4. Representatives from Cooper Farms came to WTGH to share with the student how Cooper Farms raise their turkeys. This year Cooper Farms will present the President with the Thanksgiving Turkey. This is an honor for Cooper Farms along with Northwestern Ohio.

2. Sheriff Deputy Dyson was at WTGH on Wednesday, November 5 to work with the fifth and sixth grade students. During his visit, Deputy Dyson played the role of an intruder in both the fifth and sixth grade rooms. We want to thank Deputy Dyson for taking his time to come and help our student as we continue to work on implementation of ALICE.

3. On Tuesday, November 11 at 9:45 the WTGH Student Council will present a Veterans Day program to honor all local Veterans. This year several students will be reading essay they have written along with a collection of patriotic poems. This should be a day of honor for all Veterans.

Payne Elementary Principal’s Report, Jody Dunham:

1. Building Updates:

i. Custom Audio will complete Phase II of security camera installations on November 6. At that time, all interior and exterior cameras will be in operation.

ii. JW Taylor Construction replaced the damaged ceiling tile and all light bulbs in the auditorium.

2. Security Updates:

i. The Paulding County Sheriff’s Department assisted with the required fall lock down drill on November 6. We practiced the ALERT, LOCKDOWN and INFORM components of the A.L.I.C.E plan.

ii. We wish to recognize the Payne Volunteer Fire and Rescue Department for presenting a fire safety program to our student body and for providing each student with fire safety materials. Also for leading and following the annual Halloween Parade.

3. In October, the focus of the Teacher Based Team meetings was to identify specific foundational skills that volunteers can practice with students. These skills include but are not limited to: math facts for addition, subtraction, multiplication and division; and reading basic Dolch sight words, Fry word phrases and reading passages.

4. During the month of October, the Student Council sponsored a used eyeglasses drive. Student Council Members presented 165 pairs of used eyeglasses to Grover Hill Lion’s Club member, Max Kochensparger.

5. WTPE is collecting pantry items for Neighbors in Need the month of November. Donations will assist families in our community.

6. We wish to recognize the families who attended our Parent-Teacher conferences. Teachers met with the families of 76% of the students.

7. We wish to recognize the Payne PTO for their initiative in planning and organizing a very successful fall fundraiser, providing our students with a fun fall obstacle course event, roasting marshmallows for the first quarter Accelerated Reader S’mores reward party and for preparing an amazing meal for our teachers during Parent Teacher conferences.

8. We wish to recognize Cooper Farms for coming to WTPE. Cooper Farms has been selected to provide the National Turkey to be “Pardoned” by President Barack Obama this Thanksgiving.  On November 3rd, Cassie Jo Arend and Cole Cooper visited Wayne Trace Payne Elementary to present an educational “Turkey Tour” program.
